Senior Property Manager
Our Client, a Midtown based Owner and Manager of NYC Commercial Office buildings, is looking for a ‘Sr. Property Manager’ to oversee 16 commercial properties.
The position reports directly to the Vice President, Director of Real Estate Operations and has direct access to ownership. A minimum of eight years’ experience with NYC commercial building management is required.
Job Summary:
The Property Manager is responsible for the day to day administrative, financial and operational management of the portfolio of office buildings. Responsibilities include, but are not limited to, construction/space build outs, capital improvements, preparation of RFP’s, budgeting and variance reporting, invoice management/processing, contract administration, physical inspections, tenant relations, and supervision of engineering, porter and security staffs.
Functional Responsibilities:
Proactively manage the properties to maintain, enhance, and create value for the assets under management.
- Implement entrepreneurial strategies to maximize economic value.
- Actively manage relationships with vendors, tenants, and management as necessary to ensure the best-in-class performance of the assets
- Work closely with third-party service providers to ensure that they are performing in accordance with building standards.
- Develop capital budgets and update or re-forecasting same as needed.
- Analyze and monitor capital improvement and renovation programs, as required, for property maintenance, competitive positioning, or market repositioning.
- Communicate continually with the senior members of the firm to apprise appropriate individuals of issues/decisions impacting the property.
- Oversee building operations and manage staff.
- Determine specific service contract requirements, develop scope of work, solicit bids, evaluate proposals, and monitor contract performance for all service vendors.
- Periodically review performance specifications and pricing for all existing building contracts.
- Coordinate all capital and building projects with appropriate staff and vendors.
- Manage day to day problem-solving and deal with building issues as they arise.
- Evaluate current operations and implement necessary changes.
- Work with leasing on any necessary items, including budgeting and landlord and tenant build out coordination.
- Manage and work on updating and streamlining policies and procedures.
Responsible for financial management of the property.
- Develop annual operating and capital budgets.
- Review and approvals of bills, accruals and tenant charges.
- On a quarterly basis, prepare a variance report and, if needed, a reforecast budget.
- Other monthly reporting requirements and research as needed.
Manage the staff and operations of the property.
- Recruit, train and evaluate staff in order to provide superior level of service.
- Direct the staff in developing, implementing and adhering to programs and policies.
- Work with Assistant PM and staff to ensure efficient operation of property including control of overtime expenses.
- Direct others in response to emergency situations.
Work with the Tenant Service Representative to maintain tenant relations and ensure tenant satisfaction.
- Day to day contact, issue resolution, and general dealing with tenant representatives in conjunction with Our Clients Tenant Service Representative.
- Plan a tenant relations program, including individual and building-wide events.
- Update tenant handbooks including design criteria and emergency procedures.
- Coordinate all tenant move-ins and move-outs with leasing, accounting, and building staff.
- Review plans and coordinate tenant improvement projects according to SOPs and building standards.
- Draft correspondence to tenants regarding building issues and events.
Essential Functions: A minimum eight years relevant Manhattan Property Management experience
- Financial experience, including costs, budgets, executing contracts, service contracts, and arrears.
- Knowledge of building mechanical systems & construction management.
- Ability to effectively listen to co-workers and respond to their requests.
- Knowledge of the budgetary process as it relates to operating and capital expenditure budgets.
- Understand lease language and have the ability to understand both landlord and tenant requirements.
Other Skills/Requirements:
- Exceptional computer skills utilizing Microsoft Office and proficiency in Yardi.
- Strong interpersonal skills coupled with effective oral and written skills.
- Strong analytical and effective problem solving skills. Ability to work independently.
- Excellent organizational skills.
- Must be reliable, flexible and versatile.
